Who is responsible

Your enquiry and job

We collect the job description, service, urgency, postcode, mobile number, reply preference and any optional photo you provide, plus referral source and campaign. We use these to respond and take steps you request before a contract, and to perform agreed work. After you choose to accept a quote, we also collect your name, property address, quote acceptance and relevant appointment/payment records. We retain accounting records to meet legal obligations. We use legitimate interests for proportionate security, follow-up and service measurement.

Where your details go

The website is hosted through OpenAI Sites with Cloudflare-backed storage. Only authorised owner access can retrieve enquiry records and photos; private job links should be kept private. Your chosen SMS, phone or WhatsApp service handles messages sent through that channel. Purelymail provides our email inbox. Resend delivers enquiry emails to our private Purelymail inbox. These include your job description, service, postcode, mobile number, reply preference, submission time and referral information so We can respond promptly. Photos remain in protected website storage and are linked in the email, not attached. Email copies are reviewed under the same enquiry/job retention periods. Stripe processes online payment information when payment is enabled. Card details are entered only on Stripe’s pages and are not stored by this website.

Providers may process data outside the UK. We use their applicable contractual safeguards for international processing. When the HubSpot CRM integration is enabled, enquiry details and protected photo links are copied to our private HubSpot account for managing the job and follow-up. Photos remain in protected website storage. We do not sell enquiry data or pass requests to an AI assistant. There is no automated job acceptance, pricing or appointment decision.

How long we keep information

Unaccepted enquiries are reviewed and deleted after six months unless an active booking, dispute or other justified need requires retention. Quote, acceptance, invoice and completed-job records are normally retained for six years for accounting and potential claims. Photos are kept only as needed for the enquiry, agreed work or a relevant claim; marketing use requires separate permission. Records may be deleted sooner when no longer necessary, or retained for a documented legal reason. Journey measurement is removed after 90 days. Deletion is performed through the owner maintenance process and reviewed regularly.

Measurement and security

No advertising pixels or tracking cookies are installed. Form measurement uses a random page-journey identifier and daily completed-step flags, without your job, postcode, phone or photo. Reloading starts a new journey, so counts are not unique people. Source tags may travel through internal links and are saved with an enquiry. Hosting and email providers may keep operational/security logs under their own retention arrangements. Short-lived, hashed network identifiers help limit abusive requests.

Your choices and rights

Photos are optional. We need the job, postcode and a reply number to handle an online request; you can call instead. You can ask for access, correction, deletion, restriction, portability where applicable, or object to processing based on legitimate interests. These rights have legal limits. Contact us using the details above; we will verify identity proportionately and respond within the applicable period. You can complain to us and to the Information Commissioner’s Office.
